Recording a session
Take the register, rate today's focus skills for each child, and move up anyone ready for their next level.
Do this
- Tap each child's name as they arrive. Tap it again to undo.
- For a booked child who is not there, mark Late cancel or No-show.
- Tap a skill chip to move it on: Emerging, then On own, then Consistent.
- Use Everyone to give one rating to every child checked in.
- Under Ready to move up, press Move up for each child you agree is ready.
- Cannot coach it? Open I cannot work this one and press Put it on the board.
The top of the screen
The session's name, and how many of those booked are checked in.
The badge on the right says where your taps are. Saved means the club has them all. "3 queued" means they are on the phone, waiting to send. Offline means there is no signal. "2 not saved" means some were refused: see No signal, below.
Taking the register
Tap a child's name as they arrive, and tap again to undo a wrong one. Children checked in move to the top, with their level beside their name.
Only children checked in can be rated.
The register decides what happens next. The morning after, a booked child who was not checked in counts as a no-show.
A register that reaches the club late still puts things right.
If nobody takes a register at all, nothing is decided: nobody is marked absent, and the club is shown that it is missing.
A per-athlete pay rate counts the children checked in.
Late cancel and No-show
For a booked child who is not there, say why. Late cancel means the family told you too late. No-show means nobody came. Tap it again to clear it.
The club's cancellation policy decides what each one costs.
The buttons show from the session's start until a week after it ends.
A mark goes straight to the club, so it needs signal. With none, the screen says the mark was not made; try again later.
A child marked who then walks in is just checked in, and the mark clears.
A fee for a mark is not charged until the morning after the session, so a late arrival costs nothing.
Medical
Medical under a child's name opens the notes their family wrote.
It is folded away so a child standing behind you cannot read it. It only shows for children whose notes you may see.
Recording skills
The columns are today's focus skills. Each chip is one child and one skill, with a shape for how far they are: — not seen, Emerging, On own, Consistent.
One tap moves a chip on one step. Tapping a Consistent chip confirms it again rather than starting over.
Nothing is recorded unless you tap.
A chip is greyed until its child is checked in.
Owners, admins, directors and coaches rate skills. Anybody else on the session, like an assistant, sees the register alone: the screen says "The coach records skills."
A skill rated at one kind of session counts the same as at any other.
Everyone
Everyone opens Apply to everyone checked in. Pick a rating beside a skill, and every child checked in gets it.
It never lowers anybody. A child already higher is left alone, and the message says how many.
Consistent asks you to confirm first.
No signal
Every tap is kept on the phone first, so a dead spot in the gym loses nothing. The phone keeps trying, and sends your taps by itself when the signal is back.
The Sync button at the bottom sends them now.
A tap the club refuses is never dropped quietly. A card says how many were not saved and why, and Dismiss clears it.
A tap the club cannot take at all is tried a few times, then shown on the same card.
On a shared phone, another coach's taps wait for them to sign back in. They are never sent under your name.
When two coaches disagree
If another coach rated the same skill for the same child tonight, the chip is marked with a small triangle.
Rated by more than one coach tonight. lists who said what, and when. The top rating is what shows, and every rating is kept.
Write to a family
Write to a family starts a message to one child's family.
It lists only the children on this session whose families you may write to.
Ready to move up
Children who are Consistent on enough of their level's skills, over enough sessions and weeks. The club's skill tree sets how many. Each shows their percentage.
Move up gives a child the next level. Their family sees it on their level card and is emailed.
It is always your decision, never automatic.
A child moves up one level at a time. Skipping a level is only for an owner or admin.
A child already at that level is not offered again. Nor is one recorded as absent from this session.
Levels given
Children on this session who hold a level, with it beside their name.
Take it back undoes a level given to the wrong child, or too soon. The level is taken back, not erased, so the record stays.
I cannot work this one
On a session you are on, I cannot work this one puts it on the board for the other coaches. Add a reason if you like, then press Put it on the board.
It stays yours until somebody takes it, so it is never left uncovered.
Once it is up, the screen says This one is on the board. To take it back down, use Take it off the board on Open sessions.
If the club staffs its own sessions, the screen says to tell the club instead.
Common questions
What happens if I take no register?
Nothing is decided. Nobody is marked absent and no pay is worked out. The club sees the session as missing its register until somebody takes it.
Why can I not tap the skill chips?
A chip is greyed until its child is checked in. If there are no chips at all, you are on the session as an assistant: assistants take the register and coaches rate skills.
Does the phone need signal?
Not for the register or skills: taps wait on the phone and send themselves later. Late cancel and No-show do need signal, because they can cost a family money.
I moved up the wrong child. How do I undo it?
Under Levels given, press Take it back beside them.
