Start here: running Training

For whoever runs sessions and clinics: from a new club to a week of sessions with children booked, coaches on them and families paying.

Do this

  1. Set up the club and describe your first weekly session.
  2. Put every weekly session on the Schedule.
  3. Add the families you already have, and send the rest your share link.
  4. Put children on their sessions.
  5. Save your cancellation policy, publish your waiver and invite your coaches.

1. Set up the club

  1. Sign in, and on Set up your club give the Club name.
  2. Under Your first session, describe one session you run every week: its name, day, time, length, place and spots.
  3. Check Your share link and Time zone. Both are fixed once the club is made.
  4. Tick the terms and press Create my club. It takes up to 20 seconds.

You land on the club's home, with Get your club running at the top. Each step ticks itself as soon as it is really done.

Coming from the Training page, Training is already chosen, and the Also set up box under it is optional. Coming in directly, What will you use? asks, with Training ticked.

The share link is made from the club name. You can change it before you create the club. If another club has it, you are told and nothing is made.

Rather not fill in the form? Press Describe my program and say your days and times in your own words. Check what was heard, then press Create my club.

Want to look around first? The try-it page needs no account.

2. Put your weekly sessions on

  1. Open Schedule and Add a weekly session for each thing you run every week.
  2. Give each one its spots, the levels it is for, and its coach.
  3. Anything that does not repeat, like a camp day or a make-up, is Add a one-off session.

Eight weeks go on the schedule straight away, and a new week is added as each one passes.

3. Add the families you already have

  1. Open Families, then Add a family for one child, or Import from a CSV for a whole list.
  2. Send everybody else Your share link, from the top of the home page. Nothing is emailed for you.

Each child can be booked straight away. The record becomes the family's when a parent signs in with the email you gave.

Before you add the first family: you will turn on two-step sign-in with an authenticator app, about two minutes.

Once the club holds a family, owners and admins sign in with an authenticator app as well as their password or emailed link. It protects the children's details.

The first time you add one, you are taken to Turn on two-step sign-in. Scan the code with an app such as Google Authenticator, type the first code it shows, and you are sent straight back to what you were doing.

When a parent signs in with the email you gave, they confirm the child's date of birth to claim the record.

4. Put children on their sessions

  1. Open a session on Schedule.
  2. Under Booked, pick a child from Put a child on… and press Add to session.

From then on families book for themselves from your share link. Coaches see the children on their register.

5. Decide what happens when somebody cancels

  1. Open Club admin, then Club settings, then When somebody cancels.
  2. Set how much notice gets a session back, and what a late cancel or a no-show costs.
  3. Press Save the policy, even if you changed nothing.

Every booking keeps the policy it was made under.

The same card sets any fees, whether they are taken from a saved card automatically, and how long a waitlist offer is held.

6. Publish your waiver

Open Club admin, then Waiver: write it and publish it.

The box starts with plain-words wording, marked as a template and not legal advice. Edit it, and have your own lawyer look it over before you press Publish it.

Families agree to it on their child's page. It is a record, not a gate: a family that has not agreed can still book.

7. Invite your coaches

  1. Open Club admin, then Staff and coaches, then Ask somebody to join: their email, and what they will do.
  2. They open the emailed link and join. If it does not arrive, press Resend and show link under Asked, not yet joined.
  3. The checklist ticks this step when somebody has joined, not when the invitation is sent.
  4. Under their name on Staff, tick the Weekly sessions they coach and press Save sessions.

Record each coach's background check under Paperwork. A coach cannot write to families without one.

If you coach alone, press It’s just me on the card and the step counts as done. Undo takes it back, and a coach who joins later ticks it anyway.

Set their pay under Payroll before their sessions run, and your cover rules under Cover.

8. Take payments (optional)

  1. The owner opens Payments from Club admin and presses Accept payments. Stripe asks for the club's details and bank account.
  2. Under What you sell, add each pack: a name, how many sessions, and the price.

Families then see Buy sessions where they book. Until then, put sessions on a child's pack yourself when a family pays at the desk.

Every week after that

Coaches open Today, take the register and record skills. The morning after a session, absences are settled from the register, and coaches' pay lines appear under Payroll.

Requests for a spot wait under Requests. Sessions nobody is coaching are listed under Cover, and so are sessions that ended with no register taken.
