Season
Set up one season: its gym time, games, sign-up dates, divisions and teams, and write to its families.
Do this
- Under Practice and game times, add the gym time the season has, then Add the time.
- Under The games, give Games each team plays, how long a game lasts and the Most players on a team.
- Set Families can sign up from and Until the end of, then press Save sign-up dates.
- Add the age groups under Divisions, then the teams under Teams.
- Once families sign up, press ⚡ Build my season, or build the teams yourself from the sign-ups.
The top of the page
The season's dates and how ages are sorted. Fees and who has paid opens its fees, for staff who take money. Coaches and the sign-up form opens its coaches, for whoever runs seasons.
Stage is where the season is: Planning, Tryouts and offers, In season or Closed. Press Save stage after changing it.
A Closed season takes no sign-ups, not even ones the club adds. The other stages are labels for you and change nothing for families.
⚡ Build my season appears once the season has divisions. In a demo club, Add sample families sits here too.
Practice and game times
The gym time the season has, before there are teams, like Tuesday nights and Saturday mornings. Choose For practices or games, the Court, the day under Every, and the hours. Then press Add the time.
Practices are suggested inside the practice times, never the game times. A league copies the game times as its game nights.
First date and Last date are optional. Empty, the time runs for the whole season.
Coaches see both kinds of time when they say when they can't. With practice times in place, Suggest practices appears under them: one a week for each team, with no league needed.
No courts yet? Add your gyms and courts first, under Facilities.
The games
How the season's games go: Games each team plays, how long A game lasts (minutes), and the Most players on a team. Press Save.
The most players decides how many teams each division needs when the season is built. Add each holiday with A day with no games and Add the day.
A league built from this season starts from these numbers, and plays on none of the days with no games. Remove beside a day takes it off the list.
When families can sign up
Sign-ups are off until you pick a first day. Set Families can sign up from and Until the end of, and press Save sign-up dates. Leave the last day empty to stay open until the season ends.
The link above the dates opens the sign-up list, to rate players and build teams. Volunteer jobs is beside it.
Turn sign-ups off closes them again. While sign-ups are off you can still offer places on a team yourself, from a division's Build rosters.
Families sign up from your share link: they add their child to the club, then sign them up from the child's Teams page.
When families pay
Shown once sign-ups have dates, to whoever sets fees. Families pay the season fee either When they sign up or Once placed on a team.
As usual is at sign-up when a group has a sign-up limit, so a held place is a paid one. Otherwise it is once the child is placed. The fee itself is set under Fees and who has paid.
Paying at sign-up, an unpaid sign-up holds its place for a day. After that it no longer holds one, and if the group fills in the meantime it cannot be paid for.
A league for a training program's families
Only shown when the club runs programs it could invite from. Link one to the season, and give its families a Discount for its families ($) if you like. It comes off their first instalment.
Once sign-ups are open, a button invites that program's families to sign up.
Divisions
The age groups. Quickest: type them under Age groups, in one line, like "U8, U10, U12", and press Show them. Take off any chip that is wrong with its ×, then add the rest.
Or open Or add one with every setting, under Add a division, for one division with all its settings. Beside each division are Build rosters, its evaluation sheet and its draft.
A division has an age, birth-year or grade range. Grades are judged as they will be at the season's start.
Sign-up limit stops sign-ups once the division is full. Leave Level from empty for a rec league: a level band keeps out any child who has never been assessed.
Who plays set to Girls only or Boys only makes the sign-up form ask how each child plays. A family can then only sign up for a group that matches. You can still place any child anywhere.
To correct a division, open Change beside it and save. A division can be removed once nobody is in it. Move its teams and sign-ups elsewhere first.
Teams
One card per team: its division, how many are on the roster, any offers waiting, and its staff. A team needs at least (players) marks a team short when it has fewer. Nothing stops it.
Add each team under Add a team with its division and Roster size. Then give it staff with As: Head coach, Assistant or Team manager.
A team's Level is for A and B teams in one division: the strongest go on A. Leave it on Only one level otherwise.
Staff come from the club's coaching staff. If the season asks for a background check or another credential, a coach without one on file is refused a place on the staff, and one whose check runs out is flagged on the team's card. Take off the team removes somebody.
The roster size can be changed later beside each team. The builder never fills a team past it.
Taking a child off a team puts their sign-up back with those still to place, so they can go on another team. Once games are played, the team's record shows on its card.
Write to the season
One message to every family in the season, or in one division with To. It reaches children on a team and children signed up and still waiting.
Each family gets it once, in its own conversation with the club. Nobody sees another family's reply.
Until anybody signs up or is on a team, the section only says so. The send button says how many children's families it will reach.
To write to one team, open the team and use Write to the team.
Common questions
Why does Build my season say it can't start?
It needs divisions, sign-ups, and the Most players on a team under The games. The build page says which one is missing.
Why can't a family find my season to sign up?
Sign-ups open only once Families can sign up from has a date, and only until the last day. A Closed season takes no sign-ups at all.
Why was a coach refused a place on a team's staff?
The season asks coaches for something on file, like a background check, and this coach's is missing or out of date. Record it, then try again.
Can I remove a division?
Yes, once nobody is in it. Move its teams and sign-ups to another division first, then open Change beside it.
