Describe your season — we’ll set it up

Set up a whole season at once from a description, from last season, from a flyer, or step by step.

Do this

  1. Type the season into the box the way you would tell a parent, or press one under Try an example.
  2. Press Set up my season →, then read Here’s what we heard.
  3. Press Looks right — use this, or Change the description to try again.
  4. Answer each step it still needs, pressing Next → after each one.
  5. On Review, fix anything listed under Before it can be made:, then press Create the season.

Start from last season

Shown once the club has a season, above Or describe a new one. Choose it under Season, say What’s different this time? if anything, and press Start from it →.

It comes back moved on a year, Saturdays still Saturdays: its age groups, places, game and practice times, sign-ups, fee and team sizes. Anything your changes altered is marked changed.

Last season's days with no games are not carried over, because holidays move. Add this year's on the Season step.

Type changes the way you would say them, like "games at Jefferson instead of Lincoln, and $50". Only what you mention is changed.

Describing the season

Say it the way you would tell a parent: the ages, the dates, where games are, practices, the fee, sign-ups and team sizes.

Have last season's flyer? Or attach last season’s flyer, a photo or a PDF up to 5 MB. Where the flyer and your words disagree, your words win.

Build it step by step asks the same questions as forms, with no description.

What you type is read by Claude, an AI, to fill in the forms. It never changes anything by itself. Only which fields it filled is kept, never what you typed, and a flyer is read and never kept.

A flyer's dates from a past season are moved on to this year, Saturdays still Saturdays. Check them on the Season step.

Don't include children's names. Requests about one child go in once they sign up.

If describing is not switched on for this site, the page says so and offers Build it step by step → instead.

Here’s what we heard

One line for each thing that was read, so you can check it before anything is made.

Anything it read but cannot set up, like a sibling discount, is listed apart. So is anything about one child, which goes in once they sign up.

The note underneath says which steps are already answered and which are still to answer.

Press Looks right — use this and the steps your description answered are ticked and skipped. You land on the first step it did not answer, or on Review if it answered them all.

Season

The season's Name, its First day of games and its Last day of games. Ages are sorted by is School grade, Year of birth or Age on a day.

Under When games are played, tick the Game days and give the hours. Add each holiday with A day with no games and Add the day.

A game lasts (minutes) and Games each team plays are optional here. A league made from the season starts from them.

Age groups

Each age group is a division a child is placed in. Type them under Age groups, in one line, like "K–2 coed; 3rd–6th grade boys and girls", and press Show them.

Each comes back as a chip. Take off any that is wrong with its ×, then add the rest. Add one by hand gives an empty row.

A range is a group a grade unless you say combined. A girls' or boys' group asks families on the sign-up form how their child plays.

Places

Where games and practices are played, and the courts at each. A place the club already has is used as it is. A new one is added to Facilities.

Use Add a court for each court, and Add a place for another gym.

Practices

Either the app plans them, one a week a team, never on top of a game, or Coaches arrange their own.

Planned here, tick Nights practices can use, give the hours and how long A practice lasts (minutes). They can use every court of every place above.

Take a court off afterwards, on the season page, if practices should not use it.

Sign-ups and fee

Sign-ups open and Sign-ups close are the first and last days families can sign up. Fee per player ($) is 0 for free. Families can always ask for help with it.

Under The sign-up form also asks, tick what it should ask. It can ask whether parents can coach, shirt sizes, nights a child can't play, and schools.

Teams

Teams are made once families have signed up. The team builder suggests them and you adjust.

Give the Fewest players a team needs and the Most players on a team. How many teams each group gets follows from the most.

Review

Every answer in one list, each with Change to go back to its step. A gym-time note says whether the courts and hours hold a game for every group each week.

Anything that would stop the season being made is listed under Before it can be made:, with the step that fixes it. Then press Create the season.

Create makes the season, its age groups, the places and courts it needs, its game and practice times, and its sign-up dates and fee. They are the same things the season page's forms would make. You land on the new season's page.

Sign-ups open on their day. Nobody is told anything until you share the link.

Common questions

Is anything sent to families when I create the season?

No. Sign-ups open on their day, and nobody is told anything until you share your link.

Does the AI change anything by itself?

No. It only fills in the forms. You check every line, and nothing is made until you press Create the season.

Why can't I press Create the season?

Something under Before it can be made: still needs an answer. Press the step named beside it and fix it there.

Can I set it up without describing it?

Yes. Press Build it step by step and answer the same questions as forms.
