Fees
Set the season's fee in instalments, record payments at the desk, give help with fees, and refund.
Do this
- Under The season’s fee, give each instalment a date and an amount, then save it.
- A team needs a different fee? Open Give that team its own fee.
- Paid at the desk? Press the paid button beside the player in Who has paid.
- Answer anyone under Asked, waiting for an answer in Help with fees.
Who owes what
A place the family has accepted owes its team's fee, or the season's when the team has none. Families pay online or at the desk.
They are reminded a week before each instalment and on the day. Nobody is taken off a team for being behind. You see it here.
Staff who take money see this page. Setting fees, refunds and help with fees are for owners, admins and directors.
Help with fees
A scholarship or a waived fee, for a family who asks or one you know needs it. Only people who manage fees see it, never coaches.
Answer a request with Waive the fee, A percentage or An amount, plus a note the family never sees. Or press Decline. The family is told either way.
Families ask from their child's Teams page, or while signing up. The request is emailed to whoever manages fees.
To help a family who has not asked, open Give help nobody asked for and choose the child. Take back ends help, and the family is told the fee is owed as it was.
Help comes off the fee's last instalments, so anything already paid stays paid. If they had paid everything already, their row says how much more they paid than they now owe. Refund it, or keep it as your club's rules say.
While a family waits for your answer, and for a day after it, their sign-up keeps its place. A waived fee keeps it for good.
Budget for help
Set a Budget for help this season ($) and press Save. The page then counts the help given against it, and says when you are over.
It is a guide only. Help is never refused because the budget ran out.
The season’s fee
The fee for every team without its own. Give it as one or more instalments, each with a due date and an amount. One row is paying in full.
A team can have its own fee instead: open Give that team its own fee under its name.
Once a family has paid against a fee, it cannot be changed. The form is shown greyed, because they paid for what it said. It can change again only if that payment is refunded in full.
Every place a family has accepted owes its fee. A payment made at sign-up counts towards it.
Who has paid
One table per team: what each player has paid, what is still owed and overdue, and the next instalment.
Paid in person? Press the button for the amount paid at the desk, or for everything left. An online payment can be refunded from the same row.
A payment still clearing shows as on its way. Help given shows beside what is owed.
Fees paid in a family's single bank payment for several children cannot go back online. Those are refunded by check: mail it, then record it under Refund by check with the Check number and Record the refund.
Paid for a place no longer held
Somebody taken off a team, or a sign-up taken back, after paying. Refund it, or keep it if your club's rules say so. Only owners, admins and directors see this.
Common questions
Why can't I change the season's fee?
A family has paid against it, so it stays as it was. It can change again only if that payment is refunded in full.
Is a family taken off the team for not paying?
No. Nobody is taken off a team for being behind. This page shows who is overdue, for you to follow up.
Can coaches see who asked for help?
No. Help with fees is seen only by owners, admins and directors.
Does help change what a family already paid?
No. Help comes off the last instalments, so payments already made stay paid. A family who had paid it all is shown as owed a refund.
