The messages
Each message shows who wrote it, whether from the club or the family, and when. Messages from the family are marked out from the club's.
The line under the subject says which child it is about.
Who sees it
Everybody on this conversation sees all of it. That is always the child's parents, and the coaches who have the child.
There is no private side note. Write everything as if the parents will read it, because they will.
Replying

Everybody on the conversation except you is emailed, with a link back here. If the child has no coach, the club's owners and admins are emailed instead.
A message cannot be changed or deleted once sent.
A coach or assistant whose background check has run out cannot reply until a current one is recorded.
