A child's record

Correct a child's details, see who is on their record, write to the family and look after their sessions.

Do this

  1. Check the name, date of birth and grade under the heading. Wrong? Open Correct these details.
  2. Read Adults on this record to see who can book and see this child.
  3. To write to the family, open Write to the family, add a subject and message, and send it.
  4. When the child stops coming, use the button under Leaving at the bottom.

Correct these details

Fixes the child's name, date of birth and grade. Press Save the correction.

The date of birth decides what the child can book and play in, so a wrong one blocks them without anyone seeing why. Every change is recorded with what it was before.

The owner, an admin, a manager and the front desk can correct details. The family can correct them from their own page too.

Waiting for the family

Shown while no family has claimed the record. The family claims it by signing in with the address shown here.

If the address is wrong, change Family's email and press Save address. Nothing is sent to either address.

Adults on this record

Who can see and act for this child: the owner guardian who set the record up, any co-guardian, any viewer, and the child's own sign-in.

Only the owner and an admin see this part.

Restrict contact is for a court or protective order you have seen. Fill in Where the order is filed, optionally Until (optional), and press Apply the restriction. From then on that adult cannot reach the record, be contacted about it, or act for the child, anywhere in the app.

Only the club places or lifts a restriction, with Lift the restriction. The owner guardian can never be restricted. Without an order, both legal parents have equal access.

Suggest another guardian

For a second household, or another adult who should hear about this child. Fill in Their name, Their email and As, then press Suggest to the family.

The owner guardian decides. Nothing changes on the record unless they approve.

As offers a co-guardian, who books, pays and hears everything, or someone who can only see the schedule. Once approved, the person accepts an invitation themselves.

The owner, an admin, a manager and the front desk can suggest a guardian.

Medical and allergies

Shown when the family has written something and you may read it. It is in the family's own words, and only they can change it.

The same child twice?

Shown when another record here has the same name and date of birth. It usually means the club added a child and the family then made their own.

Press the join button to keep the family's record. Bookings, skills, packs, team places and messages move onto it.

When both records have a family, ask them which to keep. When neither has, keep this one until a family claims it.

The owner, an admin and a manager can join records.

Photos and video

Whether coaches here may attach a photo or video of this child.

The club can press Take consent back to record a parent withdrawing it in person. Only the parent who holds the record can give consent.

Messages with the family

Every conversation about this child, newest first. Open Write to the family, fill in Subject and Message, and press the send button.

You cannot write when the child is not one of yours, or the family has asked not to be contacted electronically.

The child's parents see every word of every conversation. Replies arrive on Messages.

Sessions

How many sessions this child has left, across all their packs. Booking uses one, and a club cancellation always gives it back.

Each pack shows how many are left, how it came, and the price per session. Packs never expire.

Correct beside a pack adds or takes away sessions. Type a number, like -1 or 2, and why.

A pack bought online can be refunded for the sessions still on it. Open the refund line, tick to confirm and press the refund button. It cannot be undone.

A booking with nothing on the pack still goes through, so a child is never turned away. Those bookings are counted here until sessions are put on.

The owner, an admin and a manager can correct, refund and put sessions on.

Put sessions on

For cash at the desk, a make-up or a trial. Fill in How many sessions and Price per session, add a Note, and press Put them on.

Leave the price blank for a free one. Bookings made with nothing on the pack are paid for first.

Packs a family buys online go on by themselves.

Every movement

Every session that went on or came off this child's packs, with the date and why. Bought, booked, cancelled in time, cancelled by the club, corrected, refunded.

A balance can always be explained from here.

Drop-ins not paid for

Drop-in sessions this child booked that nobody has paid for yet. When the family pays at the desk, press that drop-in's Paid at the desk button.

Late-cancel and no-show fees

Each fee shows its session, amount and where it stands.

For one that is owed, press Paid at the desk, or open Waive, give a reason and press Waive the fee. A fee paid online can be sent back with Refund.

A fee raised by a coach's mark is not owed until the morning after the session. A child marked no-show who is then checked in late has the fee withdrawn.

The owner, an admin, a manager and the front desk can settle fees.

Leaving

The button at the bottom takes the child off the lists you work from, and off every session still ahead. It costs the family nothing.

Their record is kept, levels and all. The same button then reads that they are back, and restores them.

Common questions

Why can't I see the adults on the record?

Only the owner and an admin see Adults on this record, because it holds custody restrictions. A manager or the front desk sees the rest of the page.

Can the club add a guardian itself?

No. The club suggests one, and the owner guardian approves or declines. Nothing changes on the record without them.

Does leaving delete the child?

No. They come off your lists and future sessions, and the record is kept. Press the same button to bring them back.

Why can't I put sessions on?

Only the owner, an admin and a manager can change a child's sessions. The front desk can read the balance.
