Who can open this page
The owner, an admin, a manager and the front desk.
A director or a coach cannot open it. Coaches reach their children from their own sessions or teams instead.
Records scheduled for deletion
A card at the top lists any child whose guardian asked for their record to be deleted, with the date it goes.
Everything the club recorded about them goes too. Take an export before that date if you need a copy.
Missed sessions to decide
Shown when your cancellation policy gives a missed session back once you approve it.
Each child who missed a session waits here. Press Put it back to return it to their pack, or Keep it used.
A child checked in late comes off this list by itself.
Fees owed
Late-cancellation and no-show fees the club is owed and has not been paid. A fee is owed when it was not charged automatically, or the charge was declined.
Each name opens the child's record, where the fee is marked paid at the desk or waived.
Find a child
Searches first names, last names and both together. It also searches the email or name a waiting record was filed under.
Those are the things a parent on the phone says first. Show everybody clears the search.
Added by you, waiting for the parent to claim
Children the club added whose family has not signed in yet. Each shows the email it is waiting on.
They can be put on sessions and teams, and coached, straight away. The record becomes the family's when a parent signs in with that email.
Gave the wrong email? Open the child and correct it under Waiting for the family. Nothing is sent to either address.
Nothing is charged to a family before they claim the record.
Parents signed in
Every child whose parent has signed in and claimed the record. A child you added moves here from the list above as soon as that happens. Each line shows the date of birth.
Children who have left are folded away under Left the club at the bottom of the list. Their records are kept, so a child who comes back keeps everything.
Sessions left beside each name
Each name also shows how many sessions are left on the child's packs. Any bookings no pack paid for are counted too.
Those are the two numbers a front desk looks for first.
Add a family
Type the child's first and last name, date of birth and the Guardian email a parent will sign in with. Grade and Guardian name are optional. Press Add.
Nobody is emailed. Send the parent your share link instead. The record becomes theirs when they sign in with that email.
Until then the child is listed under Added by you, waiting for the parent to claim, and the club holds the record alone.
The child's record belongs to their family, not to the club. If they move clubs, it goes with them.
Common questions
Is the family emailed when I add their child?
No. Send them your share link yourself. The record becomes theirs when a parent signs in with the email you typed.
Why can't a coach open this page?
Families is for the people who run the club's records: the owner, admins, managers and the front desk. A coach sees their own children from their sessions or teams.
Where did a child who left go?
Under Left the club, folded away at the bottom of the list. Open them and use the button under Leaving to bring them back.
