Who can open it
The owner, an admin, a director and a manager. It is there while Coach pay and cover is switched on in the club's settings.
Recording paperwork is for the owner, an admin and a director.
Waiting on you, and on the board
Waiting on you is coaches asking to take a session that needs your say. Add a note if you like, and press Approve or Decline.
On the board is sessions a coach cannot work, or the club opened, that nobody has taken yet. Take it down removes one.
Nothing moves until it settles. The original coach stays on the session until somebody takes it and, if your rules say so, until you approve.
A request can be a trade: one coach swapping a session for another. The line says so.
Needs a coach
Every session still to come with nobody on it.
Sessions with no register
Sessions that ended over a day ago, with children booked and no register taken. Take the register if they ran, or cancel them if they did not.
Until then nothing is settled. No family's session is used or returned, and no coach is paid.
Paperwork
Background checks, SafeSport, first aid, CPR and coaching licences. Pick Who and What, add a Reference, Issued and Expires, and press Record it.
Only a reference and the dates are kept, never the document.
A notice lists anything running out within 90 days. You are emailed 90, 60 and 30 days before one runs out.
A coach or assistant needs a current background check on file to write to families. Leave Expires blank for one that does not run out.
Remove takes a record off.
How cover works here
Can coaches pick up each other's sessions? No, the club staffs everything. Or first to take it gets it. Or they can ask, and you decide.
Weekly cap is the most hours a week a coach can take on. A warning when you assign over it; a wall when they claim.
Somebody has to confirm every change of coach makes every handover wait for you under Waiting on you.
Required before a coach may take a session lists paperwork a coach must have on file to take one themselves. Leave these unticked until you have recorded everybody's. Assigning somebody yourself is never blocked by them; it is flagged instead.
Press Save.
Common questions
Who is on a session while a request waits?
The original coach. Nothing changes until somebody takes it and, if your rules ask for it, you approve.
Why can't a coach take a session from the board?
They may be missing paperwork you ticked under Required before a coach may take a session, or be over the Weekly cap. Or your rules may say the club staffs everything.
Do I upload the background check?
No. Record only a reference and the dates. The document itself is never kept.
