Start here: running Park & Rec
For whoever runs a league: from a new club to a season of teams, a published schedule, practices, scores and a table.
Do this
- Add your gym's courts, then make a season with its divisions and teams.
- Open sign-ups and send families your share link.
- Build the teams from the sign-ups.
- Set up the league, then build and publish its schedule.
- Put practices on. Or press ⚡ Build my season to do the last four at once.
The quick way: describe your season
On the Park & Rec home, press Set up a season →. Type the season the way you would tell a parent: grades, Saturdays, the gym, hours, practices, fee and sign-up dates.
Press Set up my season → and check Here’s what we heard. Press Looks right — use this, answer anything it missed, and press Create the season.
Anything read that the app cannot set up yet, like a sibling discount, is listed apart. So is anything about one child, which goes in once they sign up.
Review checks the gym time, whether the courts and hours hold a game for every group each week, and says the fix in words.
Have last season's flyer? Or attach last season’s flyer, a photo or a PDF. Where it and your words disagree, your words win. Done one before? Start from last season brings it back moved on a year, Saturdays still Saturdays.
The season, its age groups, any new place and court, its game and practice times, its sign-up dates and fee are made at once. Nothing is sent to anybody. Steps 1 to 4 below are then done.
Prefer forms? Build it step by step asks the same questions. Your description is read by Claude, an AI. Only which fields it filled is kept, never what you typed.
1. Add your gym’s courts
Open Facilities. Under Spaces, type a name in New space and press Add space, once for each court.
Playing at more than one gym? Add each one first under Add a venue, in the club's settings, then its courts.
Game nights, practices and rentals all hold a court, so nothing is ever double-booked.
2. Make a season
Open Teams. Under New season, give it a Name, and when it Starts and Ends. Choose how ages are sorted: by age on a date, by year of birth, or by school grade.
Press Create season. Or copy last season's divisions and team names, and birth years move on a year for you.
3. Add its divisions and teams
On the season, type the divisions under Age groups, in one line, like "K–2 coed; 3rd–6th grade" or "U8, U10, U12". Press Show them and add them.
Under The games, give Games each team plays, how long a game lasts and the Most players on a team. Then add each team under Add a team.
Or add one with every setting adds one division with all its settings. Grades are judged at the season's start. Leave Level from empty for a rec league: a level band keeps out any child never assessed.
Give a division a Sign-up limit if it has one. For a girls' or boys' division, set Who plays to Girls only or Boys only.
Set the fewest players a team needs with A team needs at least (players). A team short of it says so on the season page, and nothing stops it.
Add each A day with no games. A league made from the season starts from these. To correct a division later, open Change beside it.
Give each team its Roster size, and its coaches under its staff.
4. Open sign-ups
On the season, set Families can sign up from and Until the end of, and press Save sign-up dates.
Choose when families pay the season fee: when they sign up, or once placed on a team. Set the fee itself under Fees and who has paid.
Send families your share link. They add their child to the club, then sign them up from the child's Teams page.
The quick way: ⚡ Build my season
Once families have signed up, open the season and press ⚡ Build my season. The page says first what it will do: the teams, who is placed, the games and the practices.
Choose how long a practice lasts and press it. What was built lists everything made, and any request the builder could not meet.
It needs the season's Most players on a team, under The games. Press it again whenever more families sign up: it places the new children and never makes anything twice. Steps 5 to 8 below are the same work done by hand.
5. Build the teams
Open the season's sign-ups. Give each child Your rating if you want teams balanced by it.
Press Suggest teams for the ones not yet placed. Change any child's team in the list, then press Place them. Each family is emailed which team.
A mixed-grade group's grades are spread across its teams. With Ask which school a child goes to ticked, its schools are spread too, unless you choose kept together. Both are under Coaches and the sign-up form.
Changing a player's team before you place says, under it, what that breaks: a brother or sister split, a friend left, not on their parent's team. Nothing stops you.
Rather the coaches picked? Run a draft for a division from the season page instead.
6. Set up the league and its game nights
Open Competitions and press Run a league: a Name, when it Starts and Ends. Press Create. Add its divisions, then Enter one of your teams for each team.
Open Season schedule. Add a game night for each court and night you have the gym, the Days nobody plays, and each division's rules.
Each division's rules are its game length, minutes between games, and Games each team plays.
For each division, choose what Families see of its results: the table and scores, scores only, or no scores. ⚡ Build my season starts the youngest groups, below 3rd grade or under eight, on scores only.
Want coaches to say which nights they cannot make? Open requests with a closing date, and send them the link it shows.
7. Build and publish the schedule
Read The schedule it would build: the games placed, any that Could not be placed and why, and How full each night is. Change nights or rules until it reads right.
Press Publish. The button says how many games. Every team's games go on its schedule and each family is told once.
Publishing closes entries. The league becomes underway, with its public page up. To add a team later, press Take entries again on the league, enter it and publish again.
8. Put practices on
On the league's Season schedule, press Suggest practices. Untick any you do not want and press Add the ticked practices. Each family hears once, with every practice listed.
Or, on a team's own page, use Add practices by hand, choosing the court.
No league? With practice times on the season, Suggest practices on the season page does the same inside those times.
While the season runs
Scores go in on the league page once a game has started. Or let coaches enter their own with Let coaches enter scores. A team that did not turn up: Record a forfeit.
A game rained out: Find a makeup slot beside it and Move here. The table and every game are on the league's public page.
The table is ranked by win percentage.
Families say who is coming to each practice and game on their child's Teams page. Write to a whole season or division with Write to the season. Coaches write to their own team with Write to the team, or to one player with Write to one player.
Fees and instalments are on Fees and who has paid, with who is overdue.
At the end of the season, Playoffs under each division on the league page puts the top teams in a knockout.
A team that leaves mid-season: open Rename or withdraw beside it under Entries. Withdrawing takes it off the table and calls off every game it has left, telling both teams' families. The games already played stand.
A game you moved by hand can be kept where it is with Keep it here when rebuilding. A rebuild of the season then plans around it.
