Staff

Do this
- Under Ask somebody to join, type Their email and pick What they will do.
- Press Send the invitation. They get a link that lasts two weeks.
- To change somebody's role, pick a new one beside their name and press Change.
- To take somebody off, open Remove, type their name and confirm.
Who sees what here
Anybody on the staff can see who their colleagues are. Only the owner and admins can invite, change or remove people.
Only an owner can make somebody else an owner.
On the staff
Each person, their role and their email.
A coach or assistant also shows their background check: on file until a date, expired, or not on file. Without a current one they cannot write to families. Only those who record paperwork see colleagues' checks.
What each role can do
Owner: everything, including billing and closing the club. Admin: everything but those two. Director: the schedule and its coaches, seasons and teams, and reported problems.
Manager: the schedule and families. Front desk: bookings, families and corrections. Coach: their own sessions. Assistant coach: recording only.
The list under the invitation form says the same, beside each role.
Every screen checks the person's role, whatever they can see.
Sees
When the club has both areas switched on, each person can be given the ones they work in. Tick them beside Sees: and press Save. An owner always sees the whole club.
This shapes what people see, not what they may do.
Somebody given only an area the club has since switched off is shown what the club still has. A warning beside their name says their areas need setting.
Nobody can narrow what they see themselves.
Ask somebody to join
Type Their email, pick What they will do and, when the club has both areas, What they will see. Press Send the invitation.
The link works once, for that address only, and expires in two weeks. They open it, sign in with that address or create an account with it, and they are on the staff.
Asked, not yet joined lists invitations still open, with who asked, when it was sent and when it expires. An expired link says so. Resend sends it again and shows the new link with a Copy link button, for when the email never arrived or you would rather text it; the earlier link stops working. Withdraw cancels one.
Weekly sessions a coach takes
Under a coach's name, Weekly sessions lists each weekly session the club runs. Tick the ones they coach and press Save sessions.
It puts them on every week still to come, and takes them off any you untick. Nobody else on those sessions is changed. For somebody who has just joined and coaches nothing, the list is already open.
A session that runs at the same time as another you ticked is flagged before you save. Weeks the club adds later carry the same coaches. The coach gets one email, however many sessions you ticked.
A coach's hours
Beside a coach's name, Hours shows the hours that repeat each week, such as Mon, Wed · 4:00 PM to 8:00 PM. Days they are away follow. No hours given yet means they have not said.
Press Set hours to enter them for a coach, or My hours for your own. Planners see everyone's; each person sees only their own.
When a planner sets or removes a coach's weekly hours, the coach is emailed what changed. A coach's own changes send nothing.
Only the hours that repeat show here. A one-off day or time is on Who is free when, under the Schedule. The line shows only where Coach pay and cover is on.
Removing somebody
Open Remove beside their name and type their name to confirm. They come off the staff and off every session they were going to coach.
You are told which sessions are left with no coach. Their own record is untouched.
Paperwork
When Coach pay and cover is off, coaches' paperwork is recorded here instead of on Cover. It works the same way: pick Who and What, add the dates, and press Record it.
Common questions
Why can't a coach write to families?
They need a current background check on file. Record it under Paperwork, here or on Cover.
Does choosing what somebody sees limit what they can do?
No. It decides which areas they are shown. What they may do is set by their role.
The invitation expired. What now?
Press Withdraw under Asked, not yet joined, then send a new invitation to the same address.
